JOB VACANCY –PROCESS CLERK

We are seeking to hire a Process Clerk (JG 6) based in Gisenyi, reporting to the Brewing Technologist.

JOB PURPOSE

Ensures timely and accurate accounting of production resources, initiates production and conversion of process transactions in Navision.

CONTEXT:

The Process Clerk would typically report to the Brewing Technologist and in the execution of his / her daily tasks the Brewing Clerk interacts with various stakeholders:

  • Internal: Safety, Packaging, Finance, Logistics and Quality.
  • External: not applicable.

DUTIES AND RESPONSIBILITIES

1. SAFETY, FOOD SAFETY, AND SUSTAINABILITY

  • Works in accordance with the defined and implemented HEINEKEN Safety, Food safety and Sustainability standards, in the Brewing department and local regulation(s).
  • Contributes to, applies and follows the Safety agenda in Brewing department. Identifies safety points that need improvement. Participates in safety teams.
  • Ensure correct storage, handling and disposal of Chemicals and tools.

2. QUALITY OF THE PROCESS AND PRODUCT

  • Ensures timely request and supply of all raw, auxiliary and C&D material at location of use.
  • Executes inspection of the materials to ensure quality is not compromised.
  • Reports deviations and informs Brewing Team Leader for that.
  • Initiates start of improvement activities, in case of deviation.

3. TPM AND CONTINUOUS IMPROVEMENT

  • Recognizes the tags and improvement opportunities to solve them. Keeps tagging system updated.
  • Executes the 5S, tagging process and applies problem solving tools.

4. MANAGEMENT OF INFORMATION AND REPORTING

  • Provides clear and accurate information on the brewing performance, according to performance KPI’s to the upper levels. (Raw Materials consumption, Stock reconciliation and Beer release reconciliation physically and in used systems such as BASE, etc)

KNOWLEDGE AND EXPERIENCE

Minimum of Bachelor’s degree in Finance, Business Administration, Accounting or Management.

Experience

Preferably experience in beverage operation shop floor.

INTERNAL JOB VACANCY – Warehouse Operations Supervisor

We are seeking to hire a Warehouse Operations Supervisor (JG 9) based in Gisenyi, reporting to the Warehouse Manager.

JOB PURPOSE

Coordinates operational activities within the warehouse on a short-term basis. Plans weekly available resources for warehouse activities and monitors and controls on time execution to meet internal and external service level requirements and run the warehousing operation cost efficiently.

CONTEXT:

The Warehouse Operations Supervisor is the first line manager of operators and administrators in the warehouse. The team leader is on an operational level responsible for achieving performance objectives together with the people in the team. The team leader monitors that execution is according to plan and escalates to the warehouse manager when needed.

In the daily activities of the job, the Warehouse Operations Supervisor interact with the warehouse administrators and operators, team leaders from production, (transport) planning, customer service, quality, and safety.

DUTIES AND RESPONSIBILITIES

Safety

  • Act in accordance with the safety regulations.
  • Translate the safety regulations into appropriate practical working instructions and regularly assess the warehouse operation to ensure that regulations are respected.
  • Report accidents, incidents, near misses, unsafe conditions, and behaviours.
  • Implement countermeasures to reduce and mitigate risks.
  • Stimulate an open environment where safety is put first, by sharing safety concerns, acting as an example, and addressing each other on safety.
  • Contribute to sustainability in warehousing by reducing waste and energy consumption. Act as a role model.

Warehouse planning

  • Define the storage space layout to run the warehousing activities and review regularly to align with changing circumstances.
  • Translate short- and medium-term sales, inventory and production plans into warehousing resource (staff, space, equipment) requirements.
  • Weekly plan and organize staff shift and resource allocation to warehousing activities.
  • Monitor and control overtime, staff productivity, line stoppages and delays in trucks loading/unloading due to lack of warehousing resources.

Warehouse process execution management   

  • Monitors daily the resources utilization to spot over and under capacity situations.
  • Ensure continuity of operations in unexpected circumstances to ensure service level requirements are met.
  • Implement, monitor and control 5S in the warehouse.

Goods movement

  • Regularly assess execution of goods movement on the shop floor.

Inventory management

  • Translate the Traceability, FEFO, and expiry date and freshness policies into practical working instructions.
  • Monitor the organization of regular stock counts.
  • Apply corrective measures based on inventory discrepancies. Approve correction of inventory data in case of discrepancy with physical inventory.

Storage & stock quality assurance/ management

  • Translates the regulations into appropriate practical working instructions.
  • Put measures in place to monitor and report product quality issues in a timely way.

RPM handling

  • Ensure right RPM policies and procedures are adhered to.

Assets & equipment management

  • Ensure all the warehousing assets and equipment are maintained in good working condition according to the applicable regulations.
  • Anticipate need for replacement or upgrade of warehousing equipment and assets.
  • Conducts root cause analysis of equipment breakdown.

TPM & Continuous Improvement

  • Follow and report warehousing KPIs daily in Daily Control System (DCS) meetings and communicate to team.
  • Initiates actions to improve in safety, warehousing processes, assets, stock quality and/or inventory management.
  • Improve warehousing operation by using appropriate TPM tools. Ensures improvements are captured in procedures and staff is trained accordingly.

Management reporting

  • Use information on performance to control warehouse operation.

Organization & People management  

  • Ensure all PDPs are in place and performance management cycle is followed.
  • Monitor sick leave and absenteeism.
  • Ensures proper training for the warehousing staff.
  • Hold regular meetings with staff to reinforce awareness, discuss issues and possible solution and communicate new applicable regulations related to safety, quality, stock & inventory management and use of assets and equipment.

KNOWLEDGE AND EXPERIENCE

  • Bachelor in Business/Logistics Management
  • 3 years in Business, preferably in Logistics.
  • Microsoft Office: Excel, SAP ECC, or other ERP system. WMS if applicable.
  • Good command of English & Kinyarwanda.
  • Supply Chain understanding, understanding of order management and transportation.

We are seeking to hire a qualified and dedicated Quality Systems Coordinator  at Job Grade 10 based in Gisenyi reporting to Technological Controller.

JOB PURPOSE

  • To prevent food safety and quality issues by validating and verifying the effectiveness of the quality assurance and control mechanisms
  • To assist production and it’s supporting functions to maintain a stable process by actively participating and driving process capability deployments.

KEY RESPONSIBILITIES

SAFETY, FOOD SAFETY & SUSTAINABILITY

  • Reviews and supports the integration of SHE and food safety standards into operational workflows
  • Review the implementation of all food safety standards at suppliers
  • Supports the Brewing a Better World program (BaBW).

QUALITY OF THE PROCESS AND PRODUCT 

  • Monitors process data and verifies the elimination of all quality non-conformances
  • Delivers operational and procedural support necessary for the transition from process control to condition management
  • Supports identification, validation and verification of Q-points
  • Delivers operational support to evaluate supplier performance: monitoring, trials, documentation

TPM AND CONTINUOUS IMPROVEMENT

  • Leads operational PQ activities: Drives implementation of advanced UPS techniques (Unified problem solving)
  • Identifies process non-conformances and assures implementation of preventive action and verification
  • Promotes and shares best practices with internal and external peers

QUALITY PROCESS MANAGEMENT 

  • Supports transfer of quality control tasks to operations and integration into systems, checklists and standards
  • Review the control plan and specifications to adapt to evolving requirements
  • Actively supports the periodic review of all quality assurance standards and procedures in the supply chain

NPI SUPPORT

  • Leads the operational validation and verification of qualitative, technological and legislative deliverables
  • Leads the operational approval of all raw, auxiliary, packaging materials

MANAGEMENT OF INFORMATION AND REPORTING

  • Improve the Quality Information System to meet evolving requirements
  • Interprets process quality data and identifies trends
  • Documents and interprets trial data

QUALIFICATION AND SKILLS

Minimum Bachelor degree in Brewing and Malting Technology, Food Science, Chemistry or Chemical Engineering

EXPERIENCE

  • Minimum 3 years technological experience (preferable in food industry).
  • Quality and Food Safety Management Systems
  • Brewing / Packaging / Utilities / NPI
  • Continuous improvement methodologies like TPM / Lean / 6 Sigma
