Terms of reference

Humanitarian Logistics Internship 

Concern Worldwide wishes to recruit an intern for the operations department within which the logistics function falls. The person will be based in Huye.

This exciting short-term position is aimed at young graduates who want to start their career in the field of humanitarian logistics,

The intern will be placed under the direct supervision of the Senior Field Systems Officer and will work in collaboration with the Logistics and Program teams in Huye.

The duration of this internship will be a maximum of 6 months. The internship will not be extended beyond this period and Concern does not guarantee a job offer to an intern under its internship program.

SPECIFIC RESPONSIBILITIES 

All responsibilities must be carried out in accordance with Concern Worldwide policies and procedures as well as the national law of Rwanda. In particular: indications in relation to the Concern Rwanda policies and procedures manual, delegation of authority, the Logistics Manual, the Human Resources Manual, and the Transport Manual.

Specifically, the intern will be in charge of:

  • Supporting the logistics team in the documentation and archiving of procurement files;
  • Supporting the logistics team in transport management in Huye,
  • Supporting the logistics team in the process of prequalification of suppliers and development of framework agreements
  • Checking the purchasing records following the checklist and ensure that they are correct;
  • Supporting the logistics team in managing purchases, delivery of equipment’s follow up, equipment, stock and asset inventory, etc.
  • Supporting the Senior Systems Officer in organizing meetings, training, bid opening sessions, etc.
  • Assisting in office management
  • Carry out any other tasks assigned by the hierarchy in the context of this position.

KEY SKILLS AND COMPETENCIES:

  • Ability to organize files and review them to ensure they are complete and comply with applicable regulations.
  • Ability to maintain accurate and precise records
  • Good command of the English language and ability to produce reports in this language
  • Willingness to follow tasks through to completion

Required Qualifications and Experience Essential:

  • Minimum of a Bachelor’s degree in Commerce, Logistics/Supply Chain, Law or equivalent.
  • Experience is not necessary, but would be an added advantage.
  • Excellent communication skills, with a high level of mastery of the English language Excellent interpersonal skills and ability to work in a multicultural and multinational environment
  • Good computer skills.

Desirable:

  • Knowledge of logistics or the supply chain;
  • Some level of French;
  • Have completed an academic internship;
  • Suitable for learning new methods;
  • Ability to implement Concern’s policies and procedures to ensure effective and efficient support in achieving the organization’s objective;
  • Flexibility on working hours and days, and willingness to undertake professional trips throughout Rwanda.

During the duration of the internship, the intern will be required to comply with Concern worldwide standards and policies, among others:

  • Contribute to Concern’s accountability, including organizational and personal learning, information sharing according to the Rwanda Information Strategy, establishment and management of an effective complaints mechanism, promotion of The participation of beneficiaries in the program as well as Concern’s commitments to the HAP (Humanitarian Accountability Partnership)
  • Completely adhere to the commitments and regulations established in the code of conduct and associated policies (the Program Participant Protection Policy (P4), the Human Trafficking Policy, child protection policy), including the respect for confidentiality and the Anti-fraud Policy.
  • Perform any other relevant and reasonable task at the request of the supervisor, such as acting during periods of absence or annual leave.
  • Master and respect existing security policies of Concern Worldwide Rwanda

Toute infraction à la Politique de Protection des Participants au Programme et Code de Conduite de Concern par les employés de Concern résultera en une mesure disciplinaire pouvant mener au licenciement.
